1. Introduction
Wasomi Wallet (the “App”, “we”, “us”, “our”) enables students, teachers, parents/guardians, and institutional staff to manage cashless transactions, track spending, and make purchases within an institution. This Privacy Policy explains how we collect, use, store, and share information when you use the App.
Registration is not available in-app. Users are provisioned via the institution’s School Management System (SMS). Authentication is performed using an admission number, phone number, or email address and a password managed in the SMS.
2. Information We Collect
We process information provided by your institution through the SMS, as well as data generated when you use the App.
- Personal Information: Name; admission number or staff ID; phone number; email address; role (student, teacher, parent/guardian, staff).
- Account & Transaction Data: Wallet balance and overdraft status; transaction history (purchases, payments, transfers); expenditure records; linked payment methods (if any).
- Technical & Usage Data: Device type, OS, and unique identifiers; IP address; login timestamps; pages/screens viewed and general usage analytics.
3. How We Use Your Information
- Authenticate your account via the SMS and enable secure login.
- Facilitate in‑app transactions, including purchases from on‑campus shops.
- Display wallet balance, expenditure history, and overdraft limits.
- Enable parents/guardians to view student spending, transactions, and balances.
- Operate, maintain, and improve App performance, security, and user experience.
- Comply with legal, regulatory, and institutional requirements.
5. Data Storage & Security
- Data is stored securely with encryption in transit and at rest, where applicable.
- Access is restricted to authorized personnel from the institution and Codex AI for support/maintenance.
- We employ administrative, technical, and physical safeguards aligned with industry practices.
Security practices (high level)
- Least‑privilege access controls and credential hygiene.
- Network security, monitoring, and logging proportional to risk.
- Regular updates and vulnerability remediation for supported components.
6. Your Rights
Subject to applicable law (including the Kenya Data Protection Act, 2019 and GDPR principles where relevant), you may request to:
- Access your personal data;
- Correct inaccurate or incomplete data;
- Request deletion of your data (subject to institutional and legal requirements);
- Object to or restrict certain processing activities.
Because accounts are managed via the SMS, please submit requests through your institution. We will coordinate with them to address your request.
7. Data Retention
We retain personal data for as long as your account remains active or as required by law and institutional policy. After deactivation by your institution, data will be securely deleted or anonymized within a reasonable period.
8. Children’s Privacy
The App may be used by minors under the governance of the institution. Parental/guardian visibility is provided via linked accounts. Institutions are responsible for obtaining necessary parental/guardian consents in accordance with applicable laws.
9. Third‑Party Services
The App may integrate with third‑party payment processors or service providers. Your use of such services is subject to their respective privacy policies, and we encourage you to review them.
10. Changes to This Policy
We may update this Privacy Policy to reflect operational, legal, or regulatory changes. Updates will be posted in‑app and/or communicated through your institution. The “Effective Date” above indicates when the latest changes took effect.
